The Contracts Assistant will work closely with the Contracts Coordinator to support the creation and ongoing administration of sub-trade contracts, the coordination of market sale contracts, as well as supporting future contract needs as we continue to grow and expand our business. As the successful candidate you are detail oriented and are able to manage contracts and document administration across numerous projects, in various stages of the project lifecycle.

Responsibilities:

  • Work collaboratively with the Contracts Assistant to support the creation and ongoing administration of sub-trade contracts, the coordination of market sale contracts and potential commercial rental contracts;  
  • Support the Project Management team in the coordination and placement of contracts with selected sub-trades and professional consultants, in a timely manner;
  • Support the Operations Manager with the coordination, communication, and tracking of market sale contracts including documentation of pre-delivery inspections and Certificates of Possession;
  • Implement efficient document control for sub-contracts including progress tracking and ensuring contracts and change orders are fully processed from contract award to completion and issuance of Certificates of Substantial Completion;
  • Organize and track contract documentation, maintaining the contracts database and document filing, for numerous sub-contractors, in various commodities, across a variety of locations;
  • Obtain and maintaining required supporting documentation including WCB clearance letters and insurance certificates,
  • Work with accounting personnel to ensure all contract documentation is in place prior to progress payments being issued;
  • Other tasks may be assigned.

Qualifications:

  • 2-5 years’ experience in contract administration, preferably in a residential construction environment;
  • Degree, Diploma, Certificate or demonstrated experience in contract administration, law, or a related discipline;
  • Strong computer skills including intermediate to advanced knowledge of MS Office and Excel; experience with accounting and project management applications is an additional asset;
  • Self-motivated with a positive attitude and a results-oriented approach;
  • Clear and effective written and spoken communication skills;
  • Attention to detail with the ability to perform work with a high degree of accuracy;
  • Strong prioritization skills with the ability to meet deadlines and take responsibility for your work;

Working closely with the Quality Control Manager this role will assist in the development and implementation of a quality control system, built to support the successful execution of various multi-family construction projects, across all phases of development, construction to occupancy.

Responsibilities:

  • Assist in the development and implementation of QC systems, including the process specification manual, policy and forms;
  • Travel to various construction sites to observe and build understanding of work processes and challenges, in order to incorporate solutions into QC specifications and process;
  • Act as a resource to others by staying current on any changes to legislation and building code which may affect QC standards and process;
  • Develop QC inspection documents and supporting materials, conducting regular field inspections;
  • Document inspection details, completing required management reporting to ensure that all issues and risks are communicated in a timely manner;
  • Participates in preconstruction start-up meetings with subtrades and suppliers to inform them of the project quality requirements;
  • Requests and reviews quality plans and inspection forms from subtrades;

Qualifications:

  • Is working towards achieving Building Inspection Certification;
  • Completion of the BCIT “BC Building Code: Multi Unit and Small Buildings” course is an asset;
  • A minimum of 2 years of hands-on experience in a Quality Control position is required;
  • General knowledge of core elements of a construction project and construction assembly, including systems, practices, and processes of quality management systems
  • Good presentation skills and verbal/written communication skills;

  • Demonstrated competence in the areas of safety, people management, project execution, cost control, quality, and administration;
  • Previous experience working in a multi-family residential construction environment is an asset;
  • Proven experience managing projects according to plan, schedule and budget;
  • Valid First Aid certification is an asset, level 2 preferred;
  • A valid driver’s license is required;
  • A positive attitude and ability to build a constructive team environment on the work site;
  • Desire to search out opportunities to learn new things and to support the learning of others;
  • Considers quality and accomplishes tasks with an eye on the finished product;
  • Willingness to work overtime and weekends as required.
